When planning a mailroom, as a first step its various functions must be structured systematically to get a clear overview and to facilitate the comparison of offers from different suppliers. Two quite different ways of planning arise concerning changes in an existing mailroom on the one hand and the installation of a new mailroom, perhaps in a new production environment, on the other. When planning an extension to the existing mailroom or to renew old machinery within it, this needs an adjustment to the present production conditions, while in planning new production facilities with a new layout, apart from some basic structures which are binding, one is mostly free in planning decisions. The future capacity demands and the future market requirements are decisive and must be considered right from the beginning. With this Special Report as a basis, we hope to give assistance in the structuring of the planning, which will be to the benefit of the mailroom and production management as well as of the suppliers, but naturally this publication cannot replace the forming of an in- house planning committee with expertise. The report was written with the help and support of the members of MDC, the IFRA Mailroom and Distribution Committee.
